How can I access/customise the GDPR emails?

The GDPR email templates are available at Settings >> Branding >> Email Templates and are customisable just like the other email templates.

The different GDPR templates available are -

Shortcuts to the templates are also placed at Settings >> GDPR Compliance >> GDPR Settings >> Candidate template or Client contact template, which will take you directly to the respective email template.

As mentioned above, the emails are customisable. You can either type up your message on the main body, enter an external link for them to externally sign the consent or upload a file for them to physically download, sign and send back. 

  • Type it up on the body of the mail

Example: You can type up your actual policy on the GDPR email template itself and then provide the candidates with instructions on how you want them to confirm consent such as by “sending an email to info@tempbuddy.com to confirm consent”.

  • Insert an external link to track the consent

Example: You can build a document on a public drive (such as a Google Form) that details your privacy policy and then asks the candidate to check a box signifying that they CONSENT to the listed terms.  You would then copy the URL for that form and paste it into your GDPR email template on TempBuddy and instruct them to click on the link (or copy/paste into browser) and read and complete the form. Using a Google Form would also mean that you would get a notification each time someone completed the form and be able to retain a list of who has responded as well and best of all it’s free!

  • Upload a file

Example: You can upload your privacy policy as an attachment and then type up the instructions on how you want them to confirm consent, like sending an email to info@tempbuddy.com.

After you finish customising the templates, click Save Changes at the bottom of the template.

Note: The placeholders [[candName]] and [[clientName]] are mandatory.
